Set Up Your Pricing Profile
Configure your material costs, labor, target margin, and per-square-inch rate for auto-calculated quotes.
Your pricing profile tells PressOS how to calculate decoration costs automatically. Set it up once, and every quote you build uses these numbers.
What you're configuring
PressOS calculates decoration pricing with a simple formula:
Your costs + your margin = price per square inch
When you set print dimensions on a mockup or quote, PressOS multiplies the area by your per-sqin rate to get the decoration charge.
Step 1: Open Pricing
Go to Pricing in your sidebar.
Step 2: Enter your material costs
These are your actual costs to produce one square inch of printed transfer:

Don't overthink these numbers. Use your best estimate based on how much ink/film/powder you go through per month divided by how many square inches you print.
Step 3: Enter your labor cost
This is your time per square inch (or per job). Two ways to think about it:
- Per sqin — how much your time is worth per square inch of printing ($0.01–$0.03 is common)
- Per job flat rate — add a fixed amount per job instead (PressOS supports both)
Step 4: Set your target margin
This is the profit you want on top of costs. Enter it as a percentage:
- 50% = you make half the price as profit
- 100% = you double your costs (common for small shops)
- 200% = you triple your costs (premium/rush work)
Step 5: Review your per-sqin rate
PressOS calculates and shows you the final rate:
Example:
- Ink: $0.02
- Film: $0.01
- Powder: $0.005
- Labor: $0.02
- Total cost: $0.055/sqin
- Target margin: 100%
- Your rate: $0.11/sqin
A 10" × 12" print (120 sqin) would cost the customer: $13.20 in decoration (plus the blank cost).
Step 6: Set quantity tier discounts (optional)
Want to give volume discounts? Set tiers:

| 12–24 | 10% off decoration |
| 25–49 | 15% off decoration |
| 50+ | 20% off decoration |
These apply automatically when building quotes.
Step 7: Save
Click Save and your pricing profile is active. Every new quote you build uses these numbers automatically.
Tips
- Revisit quarterly — your costs change as ink and film prices shift. Update your profile to stay profitable.
- Test with a real quote — after setting up, build a test quote with a common order (e.g., 24 tees, front chest print) and see if the final price feels right.
- Rush pricing — you can apply multipliers for rush orders in individual quotes without changing your base profile.
- Don't undercharge — most shops starting out set their rate too low. Account for your time, not just materials.
