Your First Quote

Build a professional quote with real products, auto-calculated pricing, and mockups — in minutes.

This guide walks you through building and sending your first quote in PressOS. By the end, your customer will have a professional quote with products, pricing, and mockups they can approve in their portal.

Step 1: Start a new quote

  1. Go to Quotes in your sidebar (or click the + button next to Jobs)
  2. Click New Quote
  3. You'll see a blank quote builder

Step 2: Assign a customer

Click Assign Customer at the top:

  • Search for an existing customer by name or email
  • Or click New Customer to add them (name + email is all you need)

This connects the quote to their portal so they can view and approve it later.

Step 3: Add products

Click Add Section to add a product group:

  1. Search SanMar — type a style number (like "DT6000") or brand name
  2. Pick your product — select the style, then choose colors
  3. Add sizes and quantities — check the sizes the customer wants and enter quantities
  4. Pricing auto-fills — wholesale cost from SanMar populates automatically

Repeat for each product the customer wants (e.g., "50 tees in Deep Smoke" and "25 tees in Dark Royal").

Step 4: Decoration pricing

For each product section, set the print details:

  • Print locations — front chest, full back, left sleeve, etc.
  • Print dimensions — width × height in inches

PressOS auto-calculates the decoration cost using your pricing profile (cost per square inch × your margin). The total per-item price = blank cost + decoration cost.

Tip: If you've already built a mockup in MockOS, the dimensions pull in automatically.

Step 5: Attach mockups (optional but recommended)

Click the mockup icon on any product section to:

  • Pull a mockup from MockOS (if you already made one)
  • Or build one right now (it opens MockOS with the product pre-loaded)

Customers see the mockup next to the pricing — it's way more professional than a plain text quote.

Step 6: Review totals

At the top of the quote, you'll see:

  • Total items — across all sections
  • Total quantity — all sizes combined
  • Quote total — everything added up

Make sure it looks right.

Step 7: Send the quote

Click Send Quote in the top right:

  1. The quote saves and becomes visible in the customer's portal
  2. The customer gets an email notification with a link
  3. They review products, mockups, and pricing
  4. They approve or request revisions with notes

What happens next

When the customer approves:

  • You convert the quote to an invoice (one click)
  • They pay through Square
  • The order auto-creates
  • Production begins

That's it — you just sent a professional quote in a few minutes instead of an hour in a spreadsheet.

Tips

  • Save as draft anytime — the customer won't see it until you send
  • Duplicate quotes — use a previous quote as a starting point for similar orders
  • Revision history — every edit is tracked, you can always see what changed
