What it replaces
Looking up SanMar prices in another tab, calculating per-square-inch decoration costs in a spreadsheet, building quotes by hand, emailing PDFs, chasing payment through Venmo or Zelle. Nothing ties back together.
How quoting works
- Search the SanMar catalog — find products by style number, brand, or color right inside PressOS
- Add products to the quote — wholesale pricing, sizes, colors, and quantities auto-fill
- Decoration pricing calculates — your cost profile (ink, film, powder, labor) plus your target margin equals per-square-inch pricing. Quantity tiers auto-apply.
- Attach mockups — customers see exactly what they're getting alongside the price
- Send to customer — they review in their portal and approve or request changes
One-click invoicing
When the customer approves:
- Convert the quote to an invoice with one click
- Support deposits (e.g., 50% upfront)
- Net terms (15, 30, or 60 days)
- Recurring schedules for repeat customers
Payment with Square
Customers pay online through Square. The payment link is right in their portal. When payment clears:
- The order auto-creates
- Gang sheets start building
- Production queue populates
- Customer gets a confirmation
Manual payments (cash, check, bank transfer) are tracked too — mark them received and the same automation kicks in.
